How the WhatsApp signing flow works, for both senders and signers.

Signing via WhatsApp

DottSign integrates with the WhatsApp Business API, letting you deliver signing invitations directly to a signer's WhatsApp, no email inbox hunting required.

WhatsApp delivery is especially effective for:

  • Signers who are less likely to check email promptly
  • Mobile-first users in Brazil and Latin America, where WhatsApp is the primary communication channel
  • Time-sensitive contracts where open rates matter

For Senders: How to Enable WhatsApp Delivery

When adding a signer to your contract:

  1. Click Add Signer and fill in their name and email.
  2. Toggle Also send via WhatsApp.
  3. Enter their phone number in international format, for example, +55 11 98765-4321.
  4. Continue setting up the contract as normal.

When you click Send, DottSign will:

  • Send the standard invitation email
  • Send a WhatsApp message to the phone number you entered

The email contains a signing link; the WhatsApp message uses DottSign's native in-chat signing flow, not a link to a separate signing page.

WhatsApp delivery requires the WhatsApp add-on on your plan. You can enable it in Settings → Integrations. View plans →


What the Signer Receives on WhatsApp

The signer receives a message from the DottSign Business number that looks like:

✍️ Signature Request [Contract Name] sent by [Your Name].

[✅ Sign Document]

Tapping the button keeps the signer inside WhatsApp for the entire flow, no app download, no separate signing page in a browser.


For Signers: Signing from WhatsApp

  1. Tap Sign Document in the WhatsApp message.
  2. If DottSign doesn't already have your details, a form opens right inside WhatsApp asking for your name and email.
  3. You'll receive a 6-digit OTP as a native WhatsApp prompt, enter it there to verify your identity.
  4. DottSign sends you the document to be signed, so you can review the content. Once you've reviewed it, go back to the chat and tap Ready to Sign.
  5. Tap the final Sign Document confirmation button. Your typed name is applied as your legally binding signature, tied to the identity you already verified with the OTP, there's no signature canvas to draw on.

That's it. The entire flow takes about 2 minutes on a phone, and only the document-review step ever leaves the WhatsApp chat.


WhatsApp Reminders

You can send a manual reminder at any time from the contract detail page:

  1. Find the signer who hasn't signed
  2. Click the Send WhatsApp button next to their name

This sends a fresh signature request directly to their WhatsApp.


Troubleshooting WhatsApp Delivery

The signer says they didn't receive the WhatsApp message

  • Confirm the phone number you entered is correct and in international format (starts with + and country code)
  • The number must have WhatsApp installed and active
  • Some numbers may be blocked from receiving messages from business accounts, in that case, use the email link
  • Check the delivery status on the contract detail page, it will show Delivered, Failed, or Pending

"WhatsApp not available" error when adding a signer

WhatsApp delivery may not be activated on your account. Go to Settings → Integrations and check the WhatsApp status, or contact support@dottsign.com to enable it.

The signing invite in WhatsApp expired

Check the contract's expiry date in your dashboard. You can extend it from the contract detail page → Edit expiry date, then send a fresh WhatsApp reminder.
