Managing Team Members

How to invite, manage roles, and remove team members from your DottSign account.

Team Access in DottSign

DottSign's team feature lets you give colleagues access to the same DottSign workspace, so they can send contracts, view shared documents, and collaborate without needing separate accounts.

Team management is available on Starter and higher plans.


Roles

Inviting a Team Member

  1. Go to Settings → Team
  2. Click Invite member
  3. Enter their email address
  4. Select their role
  5. Click Send invite

They'll receive an email invitation. Once they accept and create (or connect) their account, they'll appear as Active in the team list.

Invited members who haven't accepted yet show as Pending. You can resend or cancel the invitation from the pending list.

If you need more seats than your plan allows, upgrade your plan from Settings → Billing.


Changing a Team Member's Role

  1. Settings → Team
  2. Find the member in the list
  3. Click the role dropdown next to their name
  4. Select the new role

The change takes effect immediately.


Shared vs. Private Contracts

By default, contracts you send are private, only you can see them.

To share a contract with your team:

  1. Open the contract
  2. Click Share → Share with team

Or make all contracts visible to the team by default:

  • Settings → Preferences → Contract visibility → Shared with team

Admins can always see all contracts in the workspace regardless of this setting.


Removing a Team Member

  1. Settings → Team
  2. Find the member
  3. Click the ⋯ menu → Remove from team
  4. Confirm

The removed member immediately loses access to the workspace. Their contracts are not deleted, they remain visible to admins and the account owner.

If you're removing someone who has pending contracts (contracts awaiting signatures), those contracts will continue to be sent and completed normally. The contracts are tied to the account, not to the individual user.


Transferring Ownership

If you need to transfer the account Owner role to another team member:

  1. The new owner must already be a team member
  2. Go to Settings → Team
  3. Click the ⋯ menu next to their name → Transfer ownership
  4. Confirm with your password

After transfer, you become an Admin. The previous Owner role cannot be reclaimed without the new Owner transferring it back.


SSO for Teams (Enterprise Plan)

On the Enterprise plan, you can configure SSO (Single Sign-On) so that all team members log in via your company's identity provider (e.g., Okta, Azure AD, Google Workspace).

With SSO:

  • New employees can join DottSign automatically on first login
  • Leaving employees lose access immediately when deprovisioned in your IdP
  • No individual passwords to manage
